Personal Assistant to Executive

You will act as the primary coordinator across daily operations, meetings, travel, and personal arrangements—ensuring that the executive’s professional and personal commitments run with precision and efficiency.

Responsibilities

• Executive Support & Scheduling
  • Manage a complex calendar with frequent cross-border coordination
  • Proactively resolve scheduling conflicts and rearrange priorities when urgent matters arise
  • Organize meeting logistics, materials, follow-ups, and briefings
  • Assist with domestic and international travel planning
• Operational & Administrative Coordination
  • Handle daily communications, including emails and internal/external correspondence
  • Maintain organized documentation, action lists, and essential records
  • Support preparation of reports, summaries, and key documents
• Personal Assistance
  • Coordinate personal appointments and related logistics
  • Assist with confidential personal matters as needed
  • Provide on-site support during occasional business trips or ad-hoc situations
• Proactive Problem Solving
  • Anticipate needs and identify risks or challenges in advance
  • Collaborate with different internal and external parties to remove obstacles
  • Maintain a strong sense of urgency while ensuring accuracy

Requirements

• 4+ years of Executive Assistant / Personal Assistant / high-level administrative support experience
• Strong command of English (written and verbal)
• Able to manage shifting priorities and operate effectively under time pressure
• Highly organized with exceptional attention to detail
• Demonstrates sound judgment, maturity, and unwavering confidentiality
• Comfortable with occasional travel (domestic or overseas) as required
