Summary
A high-impact role supporting the CEO in driving organizational alignment and execution. This position oversees executive scheduling, cross-company coordination, stakeholder communication, and board preparations, while managing key documents, administrative operations, and strategic initiatives. Success requires strong judgment, confidentiality, exceptional communication skills, and the ability to operate effectively in fast-paced, transformation-driven environments.
Responsibilities
- Manage the CEO’s agenda and cross-company priorities by coordinating subsidiary meetings and preparing briefs to ensure alignment on group-level initiatives.
- Serve as the CEO’s liaison to key stakeholders while preparing executive communications and presentations, ensuring professional and confidential handling of sensitive information.
- Support board preparations and group-wide initiatives by coordinating meeting materials, tracking key programs, and conducting industry research to assist CEO decision-making.
- Manage document control, administrative logistics, and vendor coordination while identifying opportunities to enhance efficiency within the Group CEO Office.
Requirements
- 5+ years of C-level executive support experience, preferably in pharma, healthcare, or multi-entity organizations.
- Excellent organization, multitasking, and communication skills in both English and Mandarin.
- High proficiency in MS Office and modern productivity/communication tools.
- Strong business acumen, with the ability to handle ambiguity, confidentiality, and sound judgment.
- Trustworthy, proactive, emotionally mature, and able to work effectively with senior leaders under pressure.
